Part-time Administrative Assistant

We are KlusAI, an AI-native company building intelligent, future-ready solutions for modern businesses. We’re looking for a detail-oriented Administrative Assistant to be the operational foundation of our growing team, ensuring everything runs smoothly and efficiently.
In this role, you'll manage the essential administrative functions that maintain operational efficiency across the company, from contract management and invoice tracking to coordinating events and handling correspondence. You'll work primarily remotely with occasional office presence, giving you flexibility.

What You'll Do
- Manage contracts, administrative documentation, and ensure accurate record-keeping across all company operations
- Track invoices and maintain seamless communication flow with the accounting department
- Coordinate courier shipments, handle correspondence, and manage office logistics
- Organize business visits, corporate events, and company delegations
- Support general administrative and operational activities across departments
- Maintain document organization systems and ensure efficient information flow
What We're Looking For
- 1+ years of experience in administrative, operations, or office management roles
- Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational and time-management skills with ability to prioritize multiple tasks
- Strong attention to detail across all tasks and deliverables
- Ability to work independently in a remote environment
- Strong written and verbal communication skills in English
Nice to Have
- Hands-on use of AI tools (e.g., ChatGPT, Gemini, Copilot or similar) to improve administrative workflows, such as drafting communications, organizing information, creating summaries, or automating repetitive tasks.
- Previous experience supporting teams or stakeholders in a multinational / international business environment is considered a plus.
